Please read these Booking Terms & Conditions carefully before making a reservation with Himalayan Yoga And Excursion Pvt. Ltd. By confirming a booking or making any payment towards a trip, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

  1. Booking & Reservation

Bookings may be made through our official website, email, telephone, directly through our office, or through an authorized representative of Himalayan Yoga And Excursion Pvt. Ltd.

A booking will be confirmed once the required deposit or payment has been received and written confirmation has been provided by the company.

The person making the booking is responsible for providing accurate information for all members of the travelling party and ensuring that all travellers are aware of and agree to these Booking Terms & Conditions.

Any special requirements, including dietary requirements, medical considerations, accessibility needs, or other arrangements, should be communicated to us at the time of booking.

  1. Payment Terms

A 30% deposit of the total trip cost is required to confirm a booking, unless otherwise stated in the quotation or booking confirmation.

The deposit may be paid by bank transfer before the client's arrival in Kathmandu.

The remaining balance must be paid upon arrival in Kathmandu at the office of Himalayan Yoga And Excursion Pvt. Ltd., unless another payment arrangement has been agreed in writing.

For last-minute bookings or certain services, full payment may be required at the time of booking.

If payment is made by credit or debit card in Nepal, an additional 13% charge will be applied to cover applicable local taxes and transaction fees.

Clients are responsible for ensuring that any bank transfer or payment charges are covered so that the full amount due is received by Himalayan Yoga And Excursion Pvt. Ltd.

  1. Balance Payment

The remaining balance of the trip must be paid according to the payment terms stated in the booking confirmation, invoice, or quotation.

Unless otherwise agreed in writing, the balance is payable at the Himalayan Yoga And Excursion Pvt. Ltd. office in Kathmandu upon the client's arrival.

If the required balance is not paid within the agreed period, the company reserves the right to suspend, cancel, or release the booking, subject to the applicable cancellation terms.

Certain services, including domestic flights, permits, accommodation, special events, pilgrimage arrangements, or other third-party services, may require payment in full before the commencement of the trip.

  1. Prices & Package Inclusions

The price of each tour, trek, pilgrimage, yoga journey, or adventure program is based on the services and inclusions specified in the relevant package, quotation, or booking confirmation.

Unless specifically stated otherwise, the package price may not include:

  • International or domestic airfare
  • Visa and entry fees
  • Travel insurance
  • Personal expenses
  • Meals not specifically mentioned in the itinerary
  • Personal trekking or travel equipment
  • Emergency evacuation
  • Tips and gratuities
  • Additional accommodation or transportation

Costs arising from delays or circumstances beyond our reasonable control

Any additional services requested by the client after confirmation of the booking may be subject to additional charges.

  1. Payment Confirmation

After receiving the required deposit or payment, Himalayan Yoga And Excursion Pvt. Ltd. will provide appropriate booking confirmation or payment acknowledgement.

Clients should retain their booking confirmation, invoice, payment receipt, and other relevant travel documents for their records.

A booking confirmation does not guarantee services that have not been specifically included in the confirmed itinerary, quotation, or invoice.

  1. Cancellation Policy

Cancellation requests must be submitted to Himalayan Yoga And Excursion Pvt. Ltd. in writing by email or through another officially accepted communication channel.

  • Cancellation by Himalayan Yoga And Excursion

If a trip is cancelled by Himalayan Yoga And Excursion Pvt. Ltd., we will notify the client as soon as reasonably possible.

Where the company cancels a trip and the client does not accept an alternative arrangement, 100% of the trip deposit paid will be refunded, subject to any non-refundable costs or charges imposed by third-party service providers, where applicable.

  • Cancellation by the Client

If a client cancels a confirmed trip, the following cancellation charges will apply according to the time of cancellation before the scheduled departure date:

The applicable cancellation charge will be deducted from the amount already paid, and any remaining refundable amount will be processed accordingly.

The cancellation date will be the date on which we receive the client's written cancellation request.

  1. Refund Policy

Where a refund is applicable, it will be calculated after deducting the applicable cancellation charges, non-refundable payments, and actual costs already incurred on behalf of the client.

Refunds will normally be processed through the original payment method where reasonably possible.

No refund will normally be provided for services voluntarily unused by the client after the trip has commenced.

This may include unused accommodation, meals, transportation, sightseeing, trekking services, permits, domestic flights, or other pre-arranged services.

  1. Booking Changes & Postponement

Clients may request changes to their travel dates, itinerary, accommodation, transportation, or other services after booking confirmation.

All changes are subject to availability and the applicable terms of our suppliers.

Additional costs resulting from changes to flights, hotels, transportation, permits, guides, seasonal rates, or other services will be payable by the client.

Postponement requests should be submitted as early as possible.

  1. Transfer of Booking

A confirmed booking may not be transferred to another person without prior written approval from Himalayan Yoga And Excursion Pvt. Ltd.

If a transfer is approved, the replacement traveller must meet all applicable travel requirements and provide the necessary documents.

Any additional administrative, permit, supplier, or service charges resulting from the transfer will be payable by the client.

  1. Travel Documents & Visa

Clients are responsible for ensuring that they have valid passports, visas, permits, and other travel documents required for their journey.

Clients should ensure that their passport has sufficient validity and blank pages as required by the relevant authorities.

Where agreed, we may assist clients with visa or permit arrangements. However, visa approval is determined solely by the relevant government or immigration authority and cannot be guaranteed by Himalayan Yoga And Excursion.

  1. Travel Insurance

We strongly recommend that all clients obtain comprehensive travel insurance before travelling.

Depending on the nature of the trip, insurance should ideally cover:

  • Medical expenses
  • Emergency evacuation
  • Trekking and adventure activities
  • Trip cancellation or interruption
  • Loss or damage of baggage
  • Personal accident and other relevant travel risks

Clients are responsible for checking that their insurance policy provides adequate coverage for their destination and planned activities.

  1. Health & Fitness

Clients are responsible for considering their physical fitness and personal health before booking a tour, trek, yoga journey, pilgrimage, or adventure activity.

Some programs may involve walking, hiking, high-altitude environments, remote areas, difficult terrain, or physically demanding activities.

Clients should inform us before departure of any relevant medical, dietary, mobility, or accessibility requirements that may affect their trip.

  1. Trekking & High-Altitude Activities

Trekking and high-altitude travel involve inherent risks, including altitude sickness, extreme weather, difficult terrain, injury, illness, flight delays, road conditions, and limited access to medical facilities.

Our guides and trip leaders will provide reasonable safety guidance and may recommend rest, descent, route changes, medical assistance, or evacuation where necessary.

The safety and well-being of our clients will be given priority when operational decisions are required.

  1. Flights & Transportation

Domestic flights, road transportation, transfers, and other transportation services are subject to the operating conditions and policies of the respective airlines and transportation providers.

Delays, cancellations, schedule changes, road closures, technical problems, weather conditions, and other operational issues may occur.

Any additional expenses resulting from such circumstances may be payable by the client unless otherwise agreed or covered by travel insurance.

Himalayan Yoga And Excursion will make reasonable efforts to assist clients with alternative arrangements where possible.

  1. Accommodation

Accommodation will be provided according to the category specified in the package, quotation, or confirmed itinerary.

Depending on the destination, accommodation may include hotels, lodges, guesthouses, teahouses, camps, or other appropriate facilities.

Where confirmed accommodation becomes unavailable, we may arrange alternative accommodation of a similar standard where reasonably possible.

Any additional cost resulting from a client-requested upgrade will be payable by the client.

  1. Itinerary Changes

The itinerary provided on our website, quotation, or booking confirmation represents the planned travel program.

Actual arrangements may change due to weather, road conditions, flight schedules, government regulations, local conditions, natural disasters, political situations, health emergencies, or other circumstances beyond our reasonable control.

Where necessary, we may modify the route, accommodation, transportation, activities, or schedule while making reasonable efforts to maintain the overall nature and quality of the trip.

  1. Emergency & Force Majeure

Himalayan Yoga And Excursion Pvt. Ltd. shall not be responsible for delays, cancellations, additional expenses, or changes resulting from circumstances beyond our reasonable control.

Such circumstances may include:

  • Natural disasters
  • Earthquakes
  • Floods and landslides
  • Extreme weather
  • Political unrest
  • Strikes or civil disturbances
  • Government restrictions
  • Road or airport closures
  • Flight cancellations
  • Epidemics or pandemics
  • War or security-related events
  • Technical failures
  • Other unforeseen circumstances

We will make reasonable efforts to assist affected clients and provide alternative arrangements where possible.

  1. Client Responsibilities

Clients are expected to:

  • Follow the reasonable instructions of guides and trip leaders.
  • Respect local laws and regulations.
  • Respect local cultures, traditions, and religious practices.
  • Provide accurate personal and travel information.
  • Follow health and safety instructions.
  • Take reasonable care of personal belongings.
  • Maintain appropriate behaviour towards other guests, staff, guides, and local communities.
  • Follow the rules and requirements of airlines, hotels, transportation providers, and activity operators.
  1. Personal Belongings

Clients are responsible for their passports, money, electronic devices, luggage, jewellery, and other personal belongings throughout the trip.

We recommend that valuable items are kept secure and important travel documents are stored safely.

Himalayan Yoga And Excursion Pvt. Ltd. shall not be responsible for loss, theft, or damage to personal belongings except where such liability cannot legally be excluded.

  1.  Responsible & Sustainable Travel

We are committed to promoting responsible and sustainable tourism.

Clients are encouraged to respect Nepal's natural environment, cultural heritage, local communities, religious sites, wildlife, and traditional practices.

Clients must avoid activities that may cause unnecessary environmental damage or disrespect local customs and communities.

  1.  Photography & Media

During tours, treks, activities, or events, photographs or videos may occasionally be taken for operational, promotional, or marketing purposes.

Where required, we will obtain appropriate consent before using identifiable client images for promotional purposes.

Clients who do not wish to participate in promotional photography may inform our team in advance.

  1. Complaints

If a client experiences any problem during the trip, the matter should be reported to the guide, trip leader, local representative, or company office as soon as reasonably possible.

We will make reasonable efforts to investigate and resolve complaints during the trip whenever possible.

Any complaint that cannot be resolved during the trip should be submitted to the company in writing within a reasonable period after completion of the service.

  1.  Company Responsibilities

Himalayan Yoga And Excursion Pvt. Ltd. will make reasonable efforts to provide the services described in the confirmed booking.

We work with hotels, airlines, transportation providers, guides, activity operators, and other third-party suppliers to deliver travel services.

The performance of third-party services may be subject to their own terms, operating conditions, availability, and applicable laws.

  1.  Limitation of Liability

Himalayan Yoga And Excursion Pvt. Ltd. shall not be liable for losses, delays, injuries, cancellations, or additional expenses arising from circumstances beyond our reasonable control or from the acts or omissions of independent third-party service providers, except where liability cannot legally be excluded or limited.

Nothing in these Terms & Conditions is intended to exclude or limit any legal rights or liabilities that cannot lawfully be excluded.

  1.  Special Activities

Certain activities, including trekking, rafting, mountain activities, yoga retreats, wildlife safaris, pilgrimage journeys, and high-altitude travel, may involve additional risks and conditions.

Additional safety instructions, permits, medical requirements, waivers, or activity-specific terms may apply depending on the selected program.

Clients are responsible for following the safety instructions provided by our guides, instructors, or activity operators.

  1.  Children & Minors

Children and minors must travel with an appropriate parent, legal guardian, or responsible accompanying adult unless otherwise agreed in writing.

Parents or guardians are responsible for ensuring that minors comply with applicable travel, health, and safety requirements.

Certain activities may have minimum age requirements imposed by local authorities, suppliers, or activity operators.

  1.  Privacy & Personal Information

Personal information provided during the booking process may be used for purposes related to reservations, travel arrangements, permits, visas, transportation, accommodation, communication, and other legitimate travel-service requirements.

We will handle personal information in accordance with our Privacy Policy and applicable requirements.

  1.  Website Information

We make reasonable efforts to ensure that information published on our website, including itineraries, photographs, prices, descriptions, and travel information, is accurate and up to date.

However, travel conditions, availability, prices, government regulations, and supplier services may change without prior notice.

Photographs shown on the website are intended to provide a general representation of destinations and services and may not always represent the exact accommodation, room, vehicle, landscape, or facilities provided.

  1.  Acceptance & Changes to Terms

By submitting a booking request, paying a deposit or making full payment, or confirming a trip with Himalayan Yoga And Excursion Pvt. Ltd., the client confirms that they have read, understood, and accepted these Booking Terms & Conditions.

These Terms & Conditions should be read together with the applicable trip itinerary, quotation, invoice, cancellation policy, and other documents provided by the company.

Himalayan Yoga And Excursion Pvt. Ltd. reserves the right to update these Terms & Conditions when necessary to reflect changes in our services, operating procedures, supplier requirements, legal requirements, or travel conditions.

The version applicable to a client's booking will normally be the version provided or published at the time of confirmation.
